A better procurement brief for Saudi deliveries

A product name and quantity rarely provide enough information for a reliable comparison. Supplier offers become easier to assess when specification, delivery terms and acceptance requirements are written together. The same discipline helps when the order also needs transport.

Specify the product and permitted alternatives

Record grade, size, brand or equivalent criteria, origin requirements and packing unit. Distinguish pieces, cartons and weight. For food, include the intended use and any shelf-life or storage requirements. Decide whether samples or technical sheets are needed before approval. An alternative should be visible and customer-confirmed.

Define the delivery boundary

Provide the destination, access constraints, desired window and receiving contact. Confirm responsibility for freight, unloading, storage and third-party charges. Recurring deliveries need frequency and order cutoffs. If the cargo requires particular handling, specify it before a vehicle or transport arrangement is proposed.

Compare the total delivered requirement

Use one comparison sheet for quantity, unit basis, packing, delivery and optional charges. Keep product acceptance and the evidence required at receipt explicit. Ask the authorised team to confirm the commercial offer after the supply scope is reviewed.

Saudi planning context: confirm the conformity path

Saber is an official platform for product registration and relevant conformity and shipment certification. The required path depends on the product and applicable requirements. Confirm that path with the responsible supplier or importer. MANARAT’s recommendation is to record required documents in the procurement brief rather than assume that every product follows the same process.
