Catering delivery in Riyadh: agree the handover before the event

For a Riyadh office meal programme, delivery is a handover between two teams. A menu and an arrival time leave important questions open: who receives the food, what evidence accompanies it and what happens if the venue is not ready? Use the same receiving scenario to compare catering providers.

1. Walk through the receiving route

Give bidders the unloading point, security arrangements, lift access and receiving room. Ask them to explain how food moves from the vehicle to the agreed holding area. Name a primary receiver and a backup, with an agreed contact method. Include the time needed for checks and setup; arrival at the building is not the same as readiness to serve.

2. Ask for a food-specific handling plan

SFDA publishes general food-transport guidance. Its temperature-monitoring FAQ includes chilled and frozen foods and shipments with manufacturer-specified transport or storage temperatures. Ask the provider’s responsible food-safety person which requirements apply to your menu and what records the receiver can check. Do not apply one temperature or one holding period to every dish.

3. Separate a delivery count from acceptance

Request an itemised delivery note showing dishes, portions or containers and any agreed identifiers. Decide how the receiver records missing items, damaged packaging or an unexplained mismatch. Signing for a container count should not silently settle a quality dispute. Agree the meaning of the signature and who can make an acceptance decision before service starts.

4. Rehearse the exception, not just the normal day

Ask each bidder what happens if access is delayed, the receiver is absent or the agreed food-handling conditions cannot be demonstrated. Record an escalation contact, decision deadline and replacement or cancellation terms. The receiving team should refer uncertain food-safety decisions to the responsible specialist, rather than serve food simply to meet the schedule.

5. Select the clearest complete offer

Compare delivery charges, setup, holding equipment, serving staff and return collection separately. Ask for a blank handover form and a written response to your receiving scenario. Prefer a provider who identifies responsibilities and exclusions clearly. This checklist is MANARAT’s planning guidance, not a certification of any caterer or a claim about a completed event.
